When you receive products and enter an invoice, reciProfity updates the On Hand quantity for that product.
However, if the product is not assigned to a specific location, reciProfity cannot reset its On Hand value during inventory counts. This can lead to inaccurate totals after the count.
If you have multiple products linked to the same ingredient, assign all of them to a location.
You only need to count one product per ingredient, but assigning all products ensures you can zero them out before a count.
To learn more about handling multiple products, you can read more about ghost locations here.
Steps To Create and Assign Locations in reciProfity
- Click the hamburger menu in the top left corner.
- Expand the Manage Inventory menu.
- Click Counts.
Create Locations
- From the Counts page, click the Locations icon.
- Click the +New Location button.
- Enter a location name—whatever makes sense for your setup (e.g., Walk-In Cooler, Freezer, Pantry).
You can also add sublocations to describe where items are stored within a location (e.g., Top Shelf, Left Bin). During a physical count, you’ll count everything in each sublocation.
After entering a sublocation, click the green plus button to save it.
While you can create multiple locations and sublocations, it’s best to start with a simple structure until you’re familiar with how inventory components interact.
If you order the same product from multiple vendors, read this article to learn how to assign those products to a location.
Example: Dairy Shelves in the Walk-In Cooler
Let's say you create a location called Walk-In Cooler,
Then, you add sublocations like:
- Dairy Shelf 1
- Dairy Shelf 2
- Top Shelf
- Bottom Shelf
Add as many sublocations as needed. Just remember to click the green plus button to save each one.
Once your locations and sublocations are set up, you can begin to add products to the location.
