You receive products, not ingredients. Products are assigned to designated locations. When products are received through invoices, reciProfity updates the On Hand quantity for each product. But if a product isn't assigned to a location, reciProfity can't adjust its quantity to zero during a count, which leaves the On Hand value unchanged and inflates totals after the count.
If you have multiple products of the same ingredient and want accurate On Hand counts, all products must be assigned to a Location. You do NOT need to count each product, just one from each ingredient. However, assigning all products to a Location allows you to zero out the products before a count. Before You Assign Products
Here are some important things to know before you assign products:
- A product can be assigned to multiple Locations. This is useful if different teams store or use the same product in separate areas.
- Ingredients are used in recipes, but they do not hold inventory. Inventory is tracked at the product and prep recipe level.
- Products and prep recipes appear on Count Sheets, Locations, and Templates, not ingredients.
Adding Products to a Location
There are three ways to add products to a location:
- From Ingredient Edit Mode
- From Counts > Products
- On the fly during a count.
Let's go through each option.
1) From Ingredient Edit Mode
- Open the ingredient in Edit mode.
- In the Products pane, click Locations.
- Select one or more Locations. If Sub-Locations are available, select them as needed.
- Save.
Result: The product associated with that ingredient appears on Count Sheets for the selected Location(s).
2) From Counts > Products
- Go to Menu > Manage Inventory > Counts.
- Click Products.
- In Filter Products, type the product name or item code.
Remember: search by product name, not ingredient name. For example, typing “butter” may return two butter, no salt products linked to the same ingredient.
- In Select Location, choose the Location and click
(Add) to assign the product to that Location.
Result: The product is now tied to the Location and will appear on that Location’s Count Sheets.
3) On the Fly During a Count
- Open the Count Sheet and confirm you are working in the correct Location.
- In Add Product on the Fly, type the product name.
- Click the green plus (+) button next to the product(s) you want to add.
- The added products will appear at the top of the list. Use the 4-way arrow to drag and drop products into the desired order, matching your physical layout (sheet to shelf).
