Why It's Important
Importing data from an Excel file is essential for efficiency, accuracy, and consistency. It saves time compared to manual entry, reduces errors, and preserves the original formatting and structure of the data. Additionally, it facilitates seamless integration with other software and databases, enhancing productivity and ensuring reliable, up-to-date data.
How To Use It
You can import counts from the Accardis system or by using an Excel sheet that follows the standard reciProfity layout. Keep in mind that the column layout is identical in both options, and the file needs to be saved in CSV format.
Configure reciProfity to import Count sheets.
1) Click on the Gear icon
2) Setup
3) Options
4) Select the Inventory Items button. Enable the Additional Product ID Field by checking the "include item ID field". This box displays the Item ID field in the ingredient's Product pane and serves as the product identifier during the import process.
5) Next, click on the Counts button and select either the Accardis layout or, the reciProfity Standard layout. (A sample Excel file is available at the bottom of this article)
6) Each product used in the import, must have an item ID assigned.
7) Count Import Column Layout
Both the Accardis and the reciProfity standard layout use the same import template:
The columns need to be in the order of the image below. reciProfity imports the Location, the On-Hand Count, the Inventory Date and the Item ID. All other columns are ignored and can be left blank; however, they must exist in the file.
Import a New Count Sheet
1) Click on the hamburger menu in the top left corner
2) Expand the Manage Inventory menu
3) Click on Counts
4) From within the Counts page, click the Import button.
5) The Count Import Format automatically populates based on the Counts configuration settings. If the wrong format type is assigned, please go back to the beginning of this article and read Configure reciProfity to import Count sheets
6) Click the button to search for the CSV formatted file.
7) Click the button to load the file.
8) The LOCATION description in the file must align with the reciProfity description; otherwise, the import process creates new Locations.
9) The import process only handles individual unit counts; thus, the count process is categorized as Eaches. Cases must be converted to their Each equivalent.
10) ensure the Count Date format is correct before clicking .
