Importing counts from a file saves time, reduces errors, and ensures consistency compared to manual entry. reciProfity supports imports from the Accardis system or from an Excel sheet that follows the standard reciProfity layout. Both options use the same column structure, and the file must be saved in CSV format before importing.
Step 1: Configure reciProfity for Count Imports
- Click the Gear icon.
- Go to Setup > Options.
- Under Inventory Items, enable the Additional Product ID Field by checking Include Item ID Field.
- This displays the Item ID field in the ingredient’s Product pane and serves as the product identifier during import.

- Click Counts and select either the Accardis layout or the reciProfity Standard layout.

- Make sure each product in the import file has an Item ID assigned.
Step 2: Prepare the Import File
Both Accardis and the reciProfity standard layout use the same template. Columns must appear in the order shown in the image below. reciProfity imports:
- Location
- On-Hand Count
- Inventory Date
- Item ID
All other columns can be blank but must exist in the file.
Step 3: Import a New Count Sheet
- Click the hamburger menu in the top-left corner.
- Expand Manage Inventory > Counts.
- On the Counts page, click Import.
- Confirm the Count Import Format matches your configuration. If not, return to Step 1.
- Click Browse File to select the CSV file.
- Click the Continue button to upload the file.
- Ensure the Location descriptions in the file match reciProfity exactly; otherwise, new locations will be created.
- The import only supports individual unit counts (Eaches). Convert cases to their Each equivalent before importing.
- Verify the Count Date format before clicking Save.

To avoid errors during import, keep these points in mind:

- reciProfity only accepts CSV files for the import process.
- Converting from Excel to CSV helps preserve leading zeros in the Item ID column, which are often lost if you work directly in CSV
