Transferring inventory and prep recipe on-hand quantities between Units improves allocation, streamlines operations, and supports better inventory management. It also enables centralized data access, reduces duplication, and ensures consistency across Units.
Transfers and Recipe Share rely on the ingredient or recipe name to match data between Units. When data is shared, transferred, or cloned for the first time, the receiving Unit imports it using the sending Unit’s naming description. If the name is changed in either Unit, reciProfity won’t recognize it during future transfers, resulting in duplicate ingredients or recipes.
- Use the ingredient merge feature to clean up duplicates.
- There is no recipe merge option, so consistency is key.
- To prevent naming conflicts, assign lower authorization rights to users who should not modify ingredient or recipe names.
Activate Your Transfer Subscription
- Visit the Billing Portal to activate your transfer subscription.
- Only the account administrator can assign Units for transfers.
- Purchase a Transfer license for each Unit involved in sending or receiving inventory.
Example:
If a commissary sends inventory to Restaurant 1 and Restaurant 2, you’ll need to purchase three transfers:
- 1 Transfer for the commissary
- 1 Transfer for Restaurant 1
- 1 Transfer for Restaurant 2
How To Assign Transfer Rights to Units
- Click the Gear icon in the upper right corner.
- Select Manage Users & Units.
- Click Units.

In the upper right, you’ll see the Subscription Information pane.
- Ensure your subscription supports a Transfer license for each Unit that needs to send and/or receive inventory.
- Locate the Unit Name and click the blue Edit Pencil icon.
- In the Edit Unit screen, check the With Transfers box.
- Click Save and Close.
Set Transfer Defaults
- Click the Gear icon.
- Select Setup.
- Scroll to Options.
- Select Transfer Options.
reciProfity includes two default behaviors:

Initial transfers always import the price. For future transfers, the receiving Unit can uncheck this option to prevent price imports.

Sending transfers affect Ideal Usage. This can be reset to reflect Actual Usage instead.
