Integrating reciProfity with Accounting Tools
Connecting reciProfity’s vendor invoicing with accounting tools like QuickBooks Online makes life a lot easier. It cuts down on manual data entry, which means fewer errors and less time spent double-checking numbers. Plus, everything stays up to date in real time, so your financials are always accurate and running smoothly.
Setting Up QuickBooks
Before setting up the QuickBooks interface, you'll need to make sure Super Group GL codes are correctly assigned.
Each ingredient must be linked to a Group, and each Group must be linked to a Super Group. This setup ensures that invoice product costs flow properly—from the invoice to the Super Group, and then into QuickBooks. If an ingredient isn't assigned to a Group, or if a Group isn’t connected to a Super Group, QuickBooks will show incomplete invoice totals.
Once your Super Group GL codes are set up correctly, follow these steps to enable and configure the Sage 100 interface:
- Click the Gear icon in the upper right corner,
- Click Setup.
- Scroll down to and click Options.
- Select the Accounting Interface.
- In the Accounting Interface, check the Enable QuickBooks checkbox.
- Set a Default Account using the exact account name from QuickBooks. This ensures the export can proceed even if a Super Group GL code is missing.
- Enter your Tax and Freight GL names exactly as they appear in QuickBooks. reciProfity uses these to export tax and freight amounts from each invoice.
- Click the Connect to QuickBooks button. This links your reciProfity account to QuickBooks Online and enables invoice data export.
